The CAM Team is a full service Community Association Management company.  We have developed a core set of service areas to meet your community needs.  Included in these are:

  • Legal Services

It is through a combination of each of these core areas that we develop a set of services for each of our clients.  No matter how big or small, we will work with you and your board to create a service offering that will meet all of your needs.  Detailed below is a listing of each of the services that we offer in each.

Association Daily Management

Manage, operate, maintain and supervise the properties of your Association in an efficient and satisfactory manner.

Conduct a thorough review of current owners/addresses to determine accuracy of data within 60 days of initiation of a contract, and continue to monitor ownership database to ensure ongoing accuracy.

Maintain a current owners roster. Maintain all records and documents separate from other clients. Records will be available during normal business hours for review by unit owners and their designated agents.

Board Meetings

Schedule, arrange, attend and run your board monthly meetings. We also take care of having previous minutes approved and posted.

Prepare and distribute notices as prescribed, arrange a meeting place, and e-mail documents to the Board prior to the meeting.

Annual Meetings

We prepare and assist the Board of Directors with the annual meeting. Proxies, ballots, agendas, sign-in sheets, summary reports and committee reports are all prepared and copied prior to the meeting.

Prepare and distribute notices as prescribed, arrange a meeting place, and e-mail documents to the Board prior to the meeting.

Communications

Your community manager will help the Board of Directors keep residents informed of what is going on in the Association. Using new media, technology and more traditional means we will keep communication channels open. Communication is essential for a successful Association.

Provide an after-hours telephone response system for emergency assistance for condos and townhomes.

Basic Maintenance

Notify residents at least 72 hours in advance of any work to be performed on the home or property (Condos/Townhomes).

Secure and coordinate bids of services, assist in contract negotiations, and monitor contractors for compliance and performance. Supervise the operation of all contractors and enforce the conditions of their contracts.

Management to inspect property two or four times per month, or more.

Approve minor repairs covered under the maintenance responsibility of the Association not to exceed a predetermined amount without Board approval, and emergency repairs involving health and safety at the discretion of the manager.

Fiduciary Responsibilities

Act in a fiduciary capacity with respect to the proper protection of an accounting for your Association’s assets.

Handle the bookkeeping for our Association, to include, but not limited to, collect general or special assessments that may become due, and make timely deposits.

Budget Preparation

Each month we will render (via e-mail) a detailed financial report of the previous month to the Association Board of Directors.

Submit a proposed budget and supporting documentation to the board in advance of the annual budget meeting.

Upon approval of the Board, recommend and arrange for an annual financial report (as required by law).

Assessment Collections

When directed by the Board of Directors and pursuant to your Association’s documents we will take necessary action to collect delinquent assessments.

As directed by Board, forward necessary documentation to Attorney to begin legal procedures.

Furnish the Board of Directs an itemized list of all delinquent accounts monthly.

Handle monthly disbursements promptly as directed by Boards.

Fee and Fine Collections

As authorized by the Board of Directors, we will request, demand, collect, receive, and receipt for any and all charges that may at any time be or become due to the Association.

Maintain accurate and current individual account records for each member/unit indicating all debits, credits, interest, and late charges.

Calculate interest, late fees, and legal expenses against delinquent accounts in amounts and rates as stated in Association documents.

Legal Matters

Serve as Registered Agent for the Association, and act as Association’s liaison with others, (i.e., contractors, Government agencies, courts, attorneys, realtors, owners, etc.).

Assist in enforcement of Association’s recorded governing documents, including oral and/or written notification of violations. Make recommendations for legal action and, if directed by the Board, arrange for legal enforcement.
